Upload and Share Files

Files is a storage space that space members share. Upload documents, images, videos, compressed files, and more into folders, then preview and download them. Each space keeps its own files.

Open Files

  1. Choose a space in the left sidebar.
  2. Find the Files section near the bottom of the sidebar.
  3. Click the word Files to open the main Files screen.
  4. Click the ▶ on the left to expand the folder list. Click a folder to go into it.

💡 Tip: In the path at the top of the screen, click Files or a parent folder name to go straight back to that location.

✋ Note: Only space members can use Files. In a space where only notes were shared with you, Files does not appear.

Upload Files

  1. Go into the folder where you want to put the files.
  2. Click the Upload button in the top-right.
  3. Choose the files to upload. You can choose several at once.
  4. Follow the upload progress in the card at the bottom of the screen. To stop partway, click Cancel.

On a computer, you can also drag files onto the Files screen to upload them. Drop them on a folder name to put them in that folder. If you drag in a whole folder, it is uploaded along with its inner folder structure.

💡 Tip: It is fine to drag a folder in again if its upload was interrupted. If a file with the same name and size is already in the same folder, it is skipped, and only the remaining files are uploaded.

✋ Note: The maximum size of a single file and your total storage depend on your plan. There is also a daily limit on how much you can upload and download. Some file types, such as executables (.exe and similar), cannot be uploaded.

Organize Folders

Create a New Folder

  1. Go to the location where you want to create the folder.
  2. Click New folder in the top-right.
  3. Enter a folder name and confirm.

To create a folder inside a folder, choose New subfolder from the ⋯ menu next to the folder.

Rename

  1. Click the ⋯ next to a file or folder.
  2. Choose Rename.
  3. Enter the new name.

Move

  1. Select the checkbox in front of the file or folder you want to move. You can select several together.
  2. Click the ⋯ in the bar that appears at the top.
  3. Choose Move to and choose the destination folder. To move it out to the top level, choose Root.

You can also move a single file with Move to in the ⋯ menu next to it. On a computer, you can also drag a file or folder onto another folder name to move it.

Move to Trash

  1. Click the ⋯ next to a file or folder.
  2. Choose Move to Trash.
  3. Read the confirmation message and continue.

To delete several at once, select them with the checkboxes, then choose Move to Trash from the ⋯ in the bar at the top.

✋ Note: When you delete a folder, the files inside it go to Trash too. Click Restore in Trash to bring them back. Items in Trash are permanently deleted automatically after 30 days.

💡 Tip: On a computer, you can also right-click a file or an empty area to open the same menu.

Preview and Download

  1. Click a file name.
  2. The file details and a preview open on the right.
  3. To see the preview larger, click the Maximize button. Hover over the button to see its name. To go back, click Restore.
  4. To download, click Download.

You can preview these files:

  • Image files (including SVG)
  • PDF
  • Hangul (.hwp, .hwpx)
  • Word (.docx), Excel (.xlsx), PowerPoint (.pptx)
  • Text files (.txt, .md, .csv, and more)
  • Videos (.mp4, .m4v, .webm, .mov)

✋ Note: Older Office formats (.doc, .xls, .ppt) cannot be previewed. If a file is too large, the preview is skipped, so download it to view it. Videos can be previewed up to 100MB, and some .mov files may not play. For Excel, only the first 500 rows are shown.

Download Several at Once

  1. In the list, select the checkboxes in front of the files or folders.
  2. Click Download in the bar that appears at the top.
  3. If you select several items or include a folder, they download as a single compressed file.

💡 Tip: For a folder with many images, choose Gallery in the top-right to browse large images while you choose. Click List to go back.

Add Frequently Used Files to Favorites

  1. Click the ⋯ next to a file.
  2. Choose Add to favorites. A star appears next to the file name in the list.
  3. Click the star-shaped Favorites button at the top of the screen to open the file right from the Files group.

Favorites collects files from all your spaces. If you click a file from another space, Recoble switches to that space and opens the file. To remove a file, choose Remove from favorites in the same menu.

Version Management

When you edit a document and upload it again, upload it as a new version instead of a new file. The old content stays in the version history, and the link keeps working.

  1. Click the file to open its details on the right.
  2. In Version history, click Upload new version.
  3. Choose the edited file.

✋ Note: When you upload a new version, the file name also changes to the name of the newly uploaded file. The version history shows the file name each version had at the time.

From the menu next to a past version, you can do the following:

  • Download: download the file for that version.
  • Restore this version: upload that version's content again as a new version. The current version stays as a past version.
  • Delete this version: delete that version. You cannot get a deleted version back.

Share with a Link

A Link for Space Members

  1. Click the ⋯ next to a file.
  2. Choose Copy link.
  3. Paste the copied link into a messenger or a note.

Space members can open this link after signing in. Even if you move the file to another folder or upload a new version, the link still opens and always shows the latest version.

A Link for People Outside

  1. Click the ⋯ next to a file.
  2. Choose Copy temporary share link.
  3. Send the copied link.

✋ Note: Anyone can download from a temporary share link without signing in. However, it expires after 7 days. When you copy it, we tell you until when it can be downloaded. After it expires, copy it again and send the new link.

Set Folder Permissions

Space owners and admins can choose who can see each folder.

  1. Click the ⋯ next to a folder.
  2. Choose Permission settings.
  3. Turn on Only people listed.
  4. Add people by name or email.
  5. Choose Can view or Can edit for each person.
  6. Click Save.
  • Can view: can only open and download.
  • Can edit: can upload, edit, move, and delete.

✋ Note: Permissions apply to the folders inside as well. Space owners and admins can always see all folders. Viewer members can only view, even if you set them to edit. Folders with permissions set show a lock icon.

Tags and Search

Add Tags

  1. Click a file to open its details on the right.
  2. Enter a tag in the Tags field and press Enter.
  3. Use / to create levels. For example: Quality documents/Procedures

The tags you add are collected under File tags below Files in the sidebar. Click a tag to see only the files with that tag and its lower-level tags. To clear the filter, click the ✕ next to the tag shown above the results.

Find Files

  1. Enter what you are looking for in the Search names, tags and document text field at the top of Files.
  2. Click a result to go to that file.

💡 Tip: You can search not only by file name but also by the text inside Word, Hangul, Excel, PowerPoint, and PDF files. Files where the text is an image, such as scanned PDFs, cannot be found by their content.

Use Files from Your Computer's File Browser

You can open Files like a folder in Finder on a Mac or File Explorer on Windows. For this, use a separate app password instead of your account password.

Create an App Password

  1. In space settings, open the Connections tab.
  2. Choose Connect Drive.
  3. In Name, write which device you will use it on. For example: work MacBook
  4. To only view files, turn off Allow saving and deleting.
  5. Choose how long it is Valid for and click Create app password.
  6. Copy the password right away. Once you close the window, you cannot see it again.
  7. Also copy the Address on the same screen.

Connect on a Mac (Finder)

  1. In Finder, choose Go → Connect to Server (⌘K).
  2. Paste the address you copied and connect.
  3. Enter your Recoble account email as the name and the app password as the password.

Connect on Windows (File Explorer)

The app screen shows these steps.

  1. In File Explorer, choose This PC → Map network drive.
  2. Paste the address into the Folder box.
  3. Check Connect using different credentials, then enter your account email as the name and the app password as the password.

✋ Note: One app password opens only one space. To use several spaces, create one for each space. If you rename the space, the address changes too, so you need to connect again. For devices you no longer use, click Revoke in the App passwords you created list.

On Mobile

  • Open the sidebar and go to Files.
  • Folders and files appear together in one list.
  • Tap ⋯ to open a menu from the bottom of the screen. Choose Move to to pick the destination folder in the same window.
  • After selecting several items with the checkboxes, use the same menu from the ⋯ in the bar at the top.
  • Upload files with the Upload button.
  • In the app, PDF previews show up to the first 50 pages. Download the file to see all of it.
