Share Notes and Workboards

In Recoble, you can share notes and workboards with space members or specific people. Choose a permission from Can view, Can edit, and Can manage.

Open the Share Window

1. Open a note or workboard.
2. Click the share icon at the top. In a note on mobile, tap Share in the ⋯ menu.
3. The Share window opens.

💡 Tip: You can also share an item by opening its menu in the sidebar tree.

✋ Note: If you have read-only access, you cannot click the share button.

Choose Who Can Access

In a private space, choose who can see the item in the Access field. Your choice applies right away.

1. Invited users only: only the people you invite can access it.
2. All space members: all members of the current space can access it. Choose the member permission in the field next to it.

✋ Note: In a collaboration space, all members see notes and workboards automatically. You choose between private and collaboration when you create the space, and you cannot change it later.

Invite Specific People

1. Enter a name or email in the Share field of the share window.
2. Choose a permission in the field next to it.
3. In the search results, click Invite next to the person.
4. The people you invited appear in the Shared with list with a status such as Pending or Accepted.

💡 Tip: For notes, you can also invite an email that is not in the search results with the Invite by email button.

✋ Note: People with Can manage can invite others and change permissions.

Share with an Invite Link

1. Under Invite link at the bottom of the share window, click Copy link.
2. Send the copied link.
3. When you no longer need it, click Delete link.

✋ Note: An invite link is read-only and works for 7 days after you copy it.

Find Items Shared with You

1. Items shared with you in the same space appear in the Shared with me section of the sidebar.
2. For items shared from someone else's space, open that space from Shared with me on Home.
3. Click an item to go to the note or workboard.

Frequently Asked Questions

Can I share with someone who is not a space member?

Yes. You can invite people to a note by email, and you can share both notes and workboards with an invite link.

If I stop sharing, can the other person still see it?

No. When you stop sharing, all share invitations and access for that item are removed.

Can I share a workboard like a note?

Yes. Use the share icon at the top of the workboard to open the same share window and manage access and invited people.

It says the item is shared through its parent note.

When a parent note is shared, the items under it are shared too. If you own the item, click Detach to personal to separate it.
